Board Meeting Minutes

CCA High School, Tiffin 6pm

November 24, 2015

 

Members present:  Matt Lode, Trent DeKoter, Darci Roehler, Christine Loren and Bill Nash

 

IRS update:  501 3c filed

On 7/9/15 received a letter denying the application

7/30 was a deadline to resubmit, this deadline was missed

In August a letter was submitted to the IRS

9/10 received final letter from IRS giving the Club 90 days to submit the Following requested information

– a copy of the by-laws

– Bank statements

– $850 check for the application fee

A letter will be drafted and will include the following:

– The Club bank account number

– Date the club originated

– By-laws

– Information regarding type of fundraisers (Rough Riders, restaurants)

– no officer is paid

This letter will be written by Christine, the final submission date is 12/10, have all information needed to Audrey McCain by 12/5

 

CCA Classic Tournament updates:

 

Early bird registration deadline March 1, 2016

Regular registration deadline April 1, 2016

 

8U will play on the Penn Elementary Field

13U and 14U will play at Tiffin City Park diamonds

10U will play on Koser Field

Bill will check with contact to see if the Babe Ruth Field at Penn Meadows is available.

 

The tournament will be limited to 64 teams.

 

Will need the following lead people for the tournament:

  1. Umpire Director
  2. Food Director

Will have the snow cone vendor again.

Trophies to be ordered from Harry’s Trophies

 

14U:  we have not heard from the high school coach about pulling up players

 

Wilson’s will not be selling fan gear this season, this is the last year the club will order uniforms through Wilson’s

Rage Graphix will do the fan gear for this season, plan to order uniforms through Rage Graphix for 2017 season

-can not get Under Armor, Easton or Nike

 

Tryouts for 2017 season:

-$20 for early registration

-$40 for the day of

-this will be non-refundable and will not apply towards fees to play

 

Donation to high school baseball program this school year:

  1. $250 for the purchase of new bats
  2. $500 to help purchase new nets for the batting cage – Bill motioned, Trent seconded
  3. $500 one time scholarship will be awarded to one senior athlete with a preference given to baseball players

– To be considered for the essay, the student must submit an essay and application form, the essay topic “How baseball (or your primary sport if not baseball) has shaped you as a competitor and a person.  How will you use these skills in your future?”

– Bill motioned, Darci seconded

– Darci will work on application form

 

Fundraising

-Look for a new venue:  Bobbers?, Old Roy’s?

-Matt will look into Old Roy’s

-plan for the end of Jan/Feb

-Jess Lang will organize the raffle again

-Trent will write letter and send to all past sponsors

 

Trent used the club credit at Play It Again Sports to purchase tees and a storage unit to be kept at the indoor batting cage.
